In keeping with NIC’s mission, vision and overarching goals, the Coordinator, Events position contributes to the planning and execution of NIC’s events by providing overall coordination of the conference registration experience, logistical support of events, and administrative support for the Planning team.

Essential Duties and Responsibilities

Registration Management

  • Manage day-to-day operations for conference registration including data entry and integrity, pre-conference servicing and execution, and financial-related processes.
  • Execute back-end registration operations and manage online registration process
  • Collaborate with Finance team on financial processes (invoices, payments, refunds) and revenue reconciliation.
  • Collaborate with Planning team to develop and launch event-related websites.
  • Collaborate with Manager, Events, to perform weekly audits of registration and hotel rooming lists.
  • Collaborate with Event Communications Manager to produce the Attendee Listing.
  • Plan and execute an efficient, effective and customer friendly onsite registration experience including design/layout, signage, technology, staffing, conference credentials, and badge pick-up.
  • Generate and maintain historical registration data/reports as needed, and assist with year-end reporting in addition to budget preparation.
  • Provide timely and excellent customer service for event registration and general information inquiries
  • Evaluate registration functionalities and recommend changes to strategic and tactical approaches as appropriate.
  • Provide exemplary service to internal/external customers.


  • Collaborate with Planning team on planning and execution of larger annual events.
  • Provide logistical support for smaller events, as needed.
  • Coordinate meeting and event shipping, including receiving quotes, internal communications, and overall coordination for events and conferences.
  • Prepare and maintain a comprehensive calendar of events.
  • Provide other logistical support as needed.


  • Provide general administrative support as needed

Education and/or Experience

  • Degree from four-year college or university or relevant experience.
  • 3+ years of relevant experience in event/conference registration. Conference planning experience a plus.

Other Skills and Abilities

  • Demonstrated experience using Cvent or other registration platforms/online software systems.
  • Superior, professional customer service via telephone and written communication.
  • Able to manage high volume requests while maintaining quality, accuracy and a high level of customer service.
  • Ability to take direction, prioritize, meet quick deadlines, and handle multiple disciplines with accuracy.
  • Excellent problem solving skills with ability to anticipate challenges and rectify issues efficiently, effectively and with diplomacy.
  • Able to work effectively as part of a team in a demanding, fast-paced environment.
  • Strong follow-through skills to see projects to completion.
  • Effective interpersonal, oral and written and communication skills.
  • Proficiency in Microsoft Office suite. Experience with, Pathable and/or Salesforce a plus.
  • Ability to travel 15-20% annually
